They have dozens – sometimes over a hundred. Engineering has its own site. So does Business. Admissions runs campaign landing pages while Alumni Relations maintains a separate portal. Each school, department, and initiative accumulates its own digital presence over time.Managing this ecosystem with legacy tools isn't just an operational headache. It's costing institutions students.<h3 id="the-hidden-cost-of-digital-fragmentation">The Hidden Cost of Digital Fragmentation</h3>The root cause is structural: universities are decentralized by design. Different schools control their own budgets and naturally select their own technology. Over the years, this has produced a patchwork of WordPress instances, aging Drupal installations, and department-specific tools that don't communicate with each other.For IT teams, this means maintaining multiple platforms, each with its own security requirements, update cycles, and vendor relationships. Recent data from <a target="_blank" rel="noopener noreferrer" href="https://www.educause.edu/">Educause</a> reveals the scale of the problem:<ul><li>57% of students report that their institution's digital experience causes them stress at least "sometimes"</li><li>47% have missed a critical deadline – a payment, registration, or assignment – because they couldn't find the information they needed across siloed systems</li><li>41% say this confusion negatively affects their ability to learn or succeed academically</li><li>60% spend more than five minutes trying to locate essential items</li></ul>These aren't minor inconveniences. Missed payment deadlines affect revenue. Missed registration deadlines affect retention. And when nearly half of students struggle to navigate the institution's digital presence, that's a brand problem with enrollment implications.<h3 id="why-traditional-multisite-approaches-fall-short">Why Traditional Multisite Approaches Fall Short</h3>The conventional response to this fragmentation has been multisite architectures – spinning up WordPress or Drupal instances from a shared codebase. This makes it increasingly confusing for marketers and IT professionals to decode which to use and the benefits of each. Despite this, both CMS and DXP have an important and powerful place in MarTech and higher education. But there's no need to invest in costly and complex DXP-first platforms to achieve scale. Depending on the specific needs and goals of your organization and with proper planning and architectural design of your platform, a Drupal CMS can act as the base. Over time, additional features can be incorporated to create a full suite of DXP components. Shifting away from a monolithic approach to a single code base and process, IT professionals can opt for a decoupled system. This ensures brand consistency and quality control.     Store brand assets (logos, images, style guides) in a centralized location within Drupal. Using permissions, you can define which assets can be shared among users within the central Drupal instance. Lastly, provide training and ongoing support for content authors to ensure they understand and adhere to brand guidelines. As your DXP scales, it becomes an attractive target for cyber attackers. Adopting a security-first approach ensures resilience, safeguards sensitive data, and mitigates risks.Drupal prioritizes security with a robust security model and dedicated team, following best practices and regular updates. Enhance DXP security with thorough threat modeling, incorporating secure design principles, and adopting a defense-in-depth strategy. Identify possible threats, vulnerabilities, and attack vectors specific to your solution. Understanding the potential risks allows you to proactively design security measures. Incorporate secure design principles from the outset. Embrace the principle of least privilege, implement proper data encryption, and follow the principle of defense in depth. Design your solution with security controls at multiple layers, making it more challenging for attackers to exploit vulnerabilities. Train developers in secure coding practices, conduct regular code reviews, and adhere to data protection regulations, industry standards, and legal requirements. If you're unfamiliar, Heriot-Watt is considered one of Scotland’s most international universities, with more than 27,000 registered students, five campuses, and over 100 learning partners worldwide.
The school's previous on-premise CMS powered a website serving thousands of users, including students from over 150 unique countries. By moving to Contensis, the legacy system will be replaced with a modern API-first and cloud-hosted CMS, enabling the school with greater flexibility and scalability to manage its digital experience.
